Switching supplement manufacturer: how to move production without a stock gap
A switch works when three things are settled first: you hold the full specification of your products, you know who owns the formula, and your stock lasts until the new manufacturer's first batch. This page walks through the process in six steps with a checklist for the move. At Vita, the first batch to your specification runs as private label from 500 units in 4 to 8 weeks.

When is it worth switching?
When what you need and what your manufacturer delivers keep drifting apart. Common reasons:
- The minimum order no longer fits, for example because you want to test more products in smaller runs.
- Lead times are unreliable and cause stock-outs in your shop or on Amazon.
- Quality or documentation varies, such as missing certificates of analysis or deviations from the specification.
- Retailers ask for proof your manufacturer cannot provide.
- Communication is slow, with quotes and answers taking days or weeks.
Switching takes time and attention, so first check whether the problem can be fixed with your current manufacturer.
Who owns the formula?
Your contract decides. With white label, the formula usually belongs to the manufacturer: you cannot take the product with you, so you choose your own or a comparable formula with the new maker. With private label, the formula was built to your brief; whether you may take it with you is in the contract.
Check three points in the contract: who owns the formula and specification, who owns the artwork, and the notice period and open orders. Your brand, label design and product names are yours unless agreed otherwise.
Which documents do you need?
The more complete the specification, the closer the new manufacturer can match your product:
- Specification: each active with its compound, such as magnesium citrate rather than just magnesium, amount per daily dose, excipients, capsule size.
- Certificates of analysis from recent batches as the reference for target values.
- Stability data for the shelf life.
- Label and packaging files and the packaging specification.
Without a specification, a new manufacturer can approximate the product from the label and test results. Taste, colour or capsule size may then differ slightly.
How does a switch work?
- 1
Secure the documents
Request the specification, certificates of analysis, stability data and artwork before you give notice.
- 2
Get a quote
Send the specification to the new manufacturer. You get unit price, minimum and lead time, at Vita within 24 hours.
- 3
Check the sample
Compare the sample with your current product: taste, colour, capsule size, test results.
- 4
Update label and notifications
If ingredients, amounts or labelling change, update the label and any national notification, such as the BVL notification in Germany.
- 5
Plan the handover
Order the first batch so it arrives before your current stock runs out.
- 6
Check the first batch
Review the certificate of analysis and the goods, then update shop and marketplace listings if needed.
Does the product change when you switch?
Declared amounts stay the same when the same specification is produced. Small differences are still possible: raw materials from other suppliers can shift colour, smell or taste slightly, and capsule size depends on the machines.
If formula and labelling stay the same, the only label changes are what the manufacturer assigns to every batch anyway: lot number and best-before date. The name and address on the label are your brand's, not the manufacturer's.

Switching manufacturer: frequently asked questions
Can I take my formula to a new manufacturer?+
It depends on the contract. With white label the formula usually belongs to the manufacturer; with private label the contract sets who owns the formula and specification.
How long does a switch take?+
With a complete specification, usually 4 to 8 weeks to the first private-label batch at Vita. Allow time for the sample check and, if needed, a new label.
Do I need to redo my national notifications?+
Only if the formula, recommended intake or labelling change significantly; then you update them. A manufacturer change with the same product and label does not change a notification that names your brand as the business responsible.
What if I have no specification?+
Then the new manufacturer can approximate the product from the label and test results. Taste, colour or capsule size may differ slightly, which makes the sample check important.
How do I avoid a stock gap?+
Work out how many weeks your stock lasts and order the first batch from the new manufacturer early enough, including time for the sample and label.
Can I test with a small run before switching everything?+
Yes. At Vita, private label starts at 500 units and white label at 300 units, so you can test one product before moving the whole range.
